IDENTIFICATION:

POSITION TITLE:                                      Administrative Assistant

DEPARTMENT:                                          Administration

IMMEDIATE SUPERVISOR:                     Development Coordinator

 

JOB SUMMARY:

Under general supervision of the Assistant City Manager and Development Coordinator, employee will provide administrative/executive secretarial support to the Administration and Planning Divisions. This is a highly responsible administrative/secretarial position, which requires the employee to use initiative, resourcefulness, discretion, and independent judgment in handling responsibilities. He/she must have a general knowledge of city policies and procedures and a familiarity with basic functions of all city departments. He/she must be able to prioritize workload in an effective manner and remain flexible to demands of the office. The Administrative Assistant position requires regular contact with the public, city departments, and elected officials. Employee will make effective, independent decisions based on knowledge and experience.

 

ESSENTIAL JOB FUNCTIONS:

Employee will handle administrative/secretarial duties for the City Manager. He/she composes correspondence independently, using excellent grammar, punctuation, spelling, and clarity; proofreads and edits documents; schedules appointments, receives and screens visitors and telephone calls; distributes mail; and maintains accurate filing systems. Employee will respond to requests or inquiries, communicating effectively and courteously with the public, elected officials, department heads, and general staff.  He/she may prepare and distribute City Council agenda packets as well as maintains Office Policies and Procedures Manual. Employee will operate a personal computer.  Employee will assist in planning and code functions, primarily in assisting with permits, scheduling inspections, record keeping, inputting data, and generating letters. 

 

OTHER JOB FUNCTIONS:

The Administrative Assistant performs research and prepares reports on various projects as requested. He/she may be required to attend staff and/or various city board meetings.  Employee will update and distribute city personnel telephone directory. He/she may perform the duties of a Notary Public.   Employee will perform other related tasks as needed or directed.  Additionally, employee will maintain portions of the City website and posts/completes the electronic agenda and budget.  Will perform all other duties as assigned.

 

 

REQUIRED EDUCATION, DEGREES, CERTIFICATES, AND/OR LICENSES:

High School Diploma or equivalent. Associate's Degree in related field or successful completion of a recognized, formal secretarial training program preferred. Certificate from an accredited school in shorthand, typing, and basic computer courses. Notary Public preferred.

 

EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS:

Five years of directly related secretarial experience.

 

Skills in typing (70 words per minute) and operation of personal computer to include word processing, Microsoft Word, Excel, and spreadsheets are preferred, as well as the ability to use a 10-key calculator by touch. Additional knowledge with database relational software and/or familiarity in self-instruction for learning new software is preferred. Considerable knowledge of office practices and procedures, web page design, computer networks, and familiarity with electronic posting of documents is desired.  Employee should have the ability to compose routine letters and to communicate effectively in writing and verbally, and must be able to establish and maintain a good rapport with various levels of city staff and be able to serve the public promptly and courteously. He/she must have the ability to meet required deadlines, and to handle sensitive, confidential information.  Employee should be able to make responsible decisions in accordance with established policies and procedures, and have the ability to prioritize and coordinate multiple assignments and tasks, and to do so independently with little supervision. 

 

*Works in confined office space with moderate noise levels, generally sedentary (sitting most of the time); bends, stoops, and stretches to file, may lift boxes weighing up to 25 pounds. Keeps assigned area clean.
